How to Schedule an Appointment in ZenMaid

Learn the different options you have to create appointments in ZenMaid.

Summary

  • This article covers how to create appointments in ZenMaid using multiple methods, including from the sidebar, scheduling views, and contact profile pages, and how to fill in all relevant appointment details before saving.

Important

  • Once a contact is selected, it cannot be unselected. If you chose the wrong contact, discard the appointment and start over.

  • You can only view appointments scheduled within the next 6 months.

  • If you add an end date to a recurring service, you will need to create a new one, as it cannot be deleted.


Appointment Creation

From anywhere

  • Hover your mouse over the Appointments icon on the right-hand sidebar, then click on "Create new appointment".


From a scheduling view (except the List View and the Map view)

  • Click and hold the left mouse button on the start time, drag the cursor down to the end time, and then release the mouse button.


From all scheduling views

  • Locate the Actions button on the top right part of the page and then click on "Create Appointment".


From a contact's profile page

  • Click the button and go to All Contacts.

  • Use the search bar to find your customer and click on their name to open their profile page.

  • Click the Actions button at the top right and then "Add Appointment".


Appointment Details

  • Regardless of the option you choose to create an appointment, a pop-up window will appear on the right part of your screen.

  • Use the search bar to locate the customer you want to schedule, or click the Add New button if the customer is not in your contact list already.

  • After you select the contact, the pop-up window will refresh, and you'll be able to edit the details of the appointment.

🟥 Service Type: This is a tag attached to the appointment for easier tracking.

🟩 Date: You can change the date even if previously selected.

🟪 Time: Select the start and end time of the appointment.

🟦 Frequency: Select one time if the customer needs a single appointment, or select recurring and add a frequency for the service in the drop-down menu.

🟧 Address: If the customer was already on your contact list, the address will be present. If not, you can add one there.

  • Scroll down to the cleaners section and select the cleaners that will be assigned to this appointment. You can leave this unassigned and assign it at a later time if needed.

  • Below you'll find the Appointment and Customer Notes section. You can learn more about them here.

  • Down there, you'll find the Appointment Custom Fields. Brand new accounts have only these two, but you can create your own here.

  • Right below you'll find the Work Items. New users will get these two only, but you can create your own here.

  • The last section is the Billing section. Here you can input the appointment's price (before tax), let our system calculate it automatically (if correctly set up), and mark it as paid.

  • Once you add all the details, hit the Save button.

  • The appointment will appear on your calendar, and if it was assigned to a cleaner, it will also appear on their calendar.


Additional Information

  • Recurring services will have an icon present.
